YHA Tours Terms and Conditions

Acceptance of Terms and Conditions

By purchasing and/or participating in a YHA Tour, you are accepting and bound by the terms and conditions as set out below.

Payment

A non-refundable deposit of 10% of the tour price is required upon booking, with the final balance due 45 days (6 weeks) prior to tour departure.
Where the tour departure is within the 45 days of booking, full payment will be due on booking.
If the final balance is not paid on the due date then the booking will be cancelled and the deposit forfeited.

Cancellations
Cancellation of a tour booking must be notified in writing and sent to [email protected] and when this is received by YHA the following cancellation policy applies:
• 45+ days prior to departure date – 90% refund
• 14-44 days prior to departure date – 50% refund
• 14 days or less prior to departure date – No refund
• No Show – No refund.

In the unlikely event of YHA cancelling a tour before departure all payments made will be refunded in full or may be transferred to an alternative departure. This will be the full extent of YHA’s liability. If you leave a tour no refund will be provided for unused accommodation, transport, activities or additional services.

YHA reserves the right to make changes to itineraries or cancel any trip, including a guaranteed trip, at any time prior to departure if something beyond the control of YHA deems it necessary; including natural disasters, political instability, terrorism, weather, cultural conditions or other external events.

If YHA cancels a trip on which you are holding a fully paid booking you may choose between an alternative trip or a full refund. YHA will not be liable for any related expenses that you may have incurred as a result of your booking such as visas, vaccinations, or non-refundable flights.

Amendments/Transfer of bookings
A booking can be transferred to a new departure date (subject to availability) as long as it is done more than 45 days prior to the original tour departure date.
Any changes made within 45 days of departure are dependent upon availability and may be subject to additional costs. YHA will use its best endeavours to transfer you to tour on a new departure date, but failure of YHA to transfer you to another date does not constitute a valid reason to avoid cancellation charges and loss of refund.

Further costs may be incurred due to alternative operator cancellation/transfer policies and availability, which YHA takes no liability for.

Changes to Itineraries
Our Itineraries are subject to change without advance notice and intended as a guideline only. We reserve the right to vary itineraries, activities and transport modes at our discretion should this be necessary due to road or weather conditions, strikes, public holidays, local festivals and cultural or other reasons. As an island in the Pacific Ocean, New Zealand has very changeable weather patterns regardless of the season. This can affect road conditions and may require detours or changes to the itinerary with little or no notice. Any additional expense incurred by the passenger due to nature events is not YHA’s responsibility.

Dates, prices and itineraries advertised by YHA are subject to change and confirmation.

All pricing is in New Zealand Dollars (NZD) and includes GST.

Minimum & Maximum Numbers
There is no minimum number of guests required to operate the tour.

The maximum number for each tour is 18 guests.

Maximum numbers in multi-share dorm rooms
Accommodation provided is multi-share rooms. The usual multi-share room size for our tours are 4-6 share. In some locations the maximum room size may be up to 8 beds, however we try to keep this size as small as possible. Multishare rooms are not gender split.

At the time of booking you can request a female or male only room – please note that this cannot be guaranteed throughout the tour however we will do our best to accommodate any special requests, such as bottom bunks etc.

Upgrade to private rooms
The option to purchase an upgrade to private rooms (Double or Twin) can be requested via this form and are subject to availability. Private rooms accommodate a maximum of 2 guests. Single travellers cannot be paired with other single travellers. Private rooms do not guarantee ensuite bathrooms.

Travel Insurance
Personal travel insurance is highly recommended in order to obtain cover for any unforeseen circumstances before and/or while on tour. Guests without insurance cover attend the tours and associated activities at their own risk.

Luggage
Please limit your luggage size to one backpack or suitcase per person, not exceeding 20kg. We like to look after our guide’s backs. You can of course also carry a small day pack or bag for your personal items on the bus. Larger luggage, such as bikes or surfboards can only be taken on the bus after prior approval and this might not be possible on all tours. YHA does not take any responsibility for any damage to, or loss of, any property while on tour.

Inclusions:
Transport (including between the North and South island where applicable), Driver Guide, accommodation, activities and meals as specified in the itinerary.
Where an included activity is cancelled, YHA will endeavour to process recoup a refund for this activity and this will be passed on in full to you at the same special tour rate YHA paid. Note this will be less than the published retail rate and will be refunded as soon as possible.

Optional Activities:
Optional activities booked while on tour will be charged at the standard retail rate or any special rate available to YHA. In most cases, your driver/guide will issue you with a voucher to access tour rates and you will pay the activities provider directly.
All optional activities offered during the tour are operated by independent companies and are an additional cost to the tour price (unless stated otherwise in itinerary). We carefully select well established, professional companies who assume all responsibility for their safety and satisfactory delivery. Excursions or other tours that you may choose to book or pay for whilst you are on holiday are not part of your package holiday provided by us. All excursions are supplied by third party suppliers and are subject to their own terms and conditions.

For any excursion or activity that you book, your contract will be with the operator of the excursion or tour and not with us. We are not responsible for the provision of the excursion or tour or for anything that happens during the course of its provision by the operator.

Age/child policy
YHA Tours are designed for travellers that are young of heart. To travel with us we require that you are at the minimum age limit of 18 years at time of travel. If you have any concerns surrounding your age and whether or not our tours will be suitable for you, please do not hesitate to contact us and we will be more than happy to discuss your options.

Fitness/Activities:
Our tours require a moderate level of fitness, as the beautiful nature of New Zealand is best explored through outdoor activities, such as hiking, swimming, kayaking. If you are concerned about your level of fitness or the extent of the activities please do not hesitate to contact us.

Pre/Post Tour Accommodation:
Please note the night before your tour start is not included in the tour pricing.
Please let us know at the time of booking whether you require pre or post accommodation and we can add this to your tour subject to availability.

Photography and Videography
YHA uses social media accounts to promote its tours and activities. By participating in the tour you agree that YHA may publish images which may include you, for marketing and promotional purposes on any medium it sees fit. YHA undertakes to only use images that do not degrade, embarrass or otherwise be to the detriment of tour participants.
